Privacy policy

This policy explains what personal data we collect when you visit klariscan.com or join the Klariscan waitlist, why we collect it, and the rights you have over it. We’ve kept it as short and plain as we can. If anything is unclear, email us at hello@klariscan.com.

Who we are

Klariscan is provided by Klariscan Limited, a company registered in England and Wales (company number 17316774), whose registered office is at 231 Vauxhall Bridge Rd, Pimlico, London SW1V 1AD, United Kingdom. In this policy, “Klariscan”, “we”, “us” and “our” mean Klariscan Limited.

Klariscan Limited is the controller of your personal data. That means we decide how and why it is used, and we are responsible for looking after it.

You can contact us about anything in this policy at hello@klariscan.com, or by post at our registered office.

The short version

  • We only collect what we need to run the waitlist and tell you about Klariscan.
  • We never sell your data.
  • Analytics and advertising cookies (Google Analytics and LinkedIn) only load if you accept them, and you can change your mind at any time.
  • You can leave the waitlist at any time, using the unsubscribe link in any email or by emailing us.
  • We delete waitlist details 12 months after Klariscan launches, unless you become a customer or ask us to keep in touch.

The information we collect

When you join the waitlist, we collect:

  • your name and business email address, and your company name and role if you choose to give them, which you enter in the form
  • a record of your consent: the date and time you signed up, the version of the wording you saw, and whether you agreed to receive email updates
  • how you found us: the page you landed on, the website that referred you, and any campaign tags in the link you followed (such as utm_source)

When you email us, we collect your email address, your name and anything you choose to include in your message.

When you visit the website, we collect:

  • anonymous usage statistics through Vercel Web Analytics, such as which pages are viewed, the referring website, and your country, browser and device type. This does not use cookies and does not identify you as an individual
  • anonymous performance measurements through Vercel Speed Insights, such as how quickly pages load
  • technical information our hosting provider records to keep the site secure and working, such as your IP address and browser details
  • only if you accept analytics cookies: information Google Analytics collects about your visit, such as pages viewed, how you arrived, your approximate location and your device, linked to a random identifier stored in a cookie
  • only if you accept marketing cookies: information the LinkedIn Insight Tag collects about your visit, such as the pages viewed and your device, which LinkedIn may match to your LinkedIn account

We don’t ask for, and don’t want, any special category data (such as health information).

How we use it, and our lawful basis

Data protection law requires a lawful basis for each way we use personal data. Ours are:

  • To run the waitlist and contact you about Klariscan: adding you to the waitlist, sending you the sample report, telling you about our launch and your waitlist discount, and following up about how Klariscan could help your business. Lawful basis: your consent, which you give when you submit the form. You can withdraw it at any time.
  • To send you updates about Klariscan by email, only if you tick the box on the form. Lawful basis: your consent, which is optional and separate from joining the waitlist. You can unsubscribe at any time, using the link in any email or by emailing us.
  • To understand which channels bring people to Klariscan, using the referral and campaign information above. Lawful basis: our legitimate interests in measuring and improving our marketing.
  • To answer your emails and enquiries. Lawful basis: our legitimate interests in responding to people who contact us.
  • To keep the website secure and working, including preventing spam and abuse of the waitlist form. Lawful basis: our legitimate interests in protecting our website and our records.
  • To understand how the website is used, with Google Analytics. Lawful basis: your consent, given through our cookie panel. You can withdraw it at any time from “Cookie Settings” under Legal at the foot of every page.
  • To measure our LinkedIn advertising and show relevant ads on LinkedIn, with the LinkedIn Insight Tag. Lawful basis: your consent, given through our cookie panel, which you can withdraw at any time.
  • To improve the website, using anonymous analytics and performance measurements. Lawful basis: our legitimate interests in running a useful, fast website.
  • To meet our legal obligations, such as keeping a record of consent or responding to lawful requests from authorities. Lawful basis: legal obligation.

Where we rely on legitimate interests, we have balanced our interests against yours and concluded that the use is expected and has minimal impact on your privacy. You can object at any time (see “Your rights”).

We don’t make decisions about you based solely on automated processing. If you accept marketing cookies, LinkedIn may use your visit to show you Klariscan adverts on LinkedIn.

Who we share it with

We never sell or rent your personal data. We share it only with organisations that help us run Klariscan, under contracts that require them to keep it secure and use it only on our instructions:

  • The IMCC Limited (company number 13214134, registered office Units 1 & 2 Field View, Baynards Business Park, Baynards Green, Bicester, Oxfordshire, OX27 7SG), which develops and operates Klariscan on our behalf and may contact you about the waitlist and Klariscan.
  • HubSpot Ireland Limited, which provides HubSpot, the customer relationship management system where we store waitlist details and send emails. We use HubSpot’s European data centre.
  • Vercel Inc., which hosts our website and provides our cookieless analytics.
  • Supabase Inc., which provides the database where we keep a record of each sign-up and your consent, so none is lost if our customer relationship system is temporarily unavailable. We use Supabase’s European data centre.
  • Google (Google Ireland Limited and Google LLC), which provides Google Analytics, only if you accept analytics cookies.
  • LinkedIn (LinkedIn Ireland Unlimited Company), which provides the LinkedIn Insight Tag, only if you accept marketing cookies. LinkedIn also uses this information for its own purposes, under its own privacy policy, as a separate controller.

We may also share personal data if the law requires it, to protect our rights or the safety of others, or with a buyer or successor if our business is sold or reorganised, in which case this policy will continue to apply.

Transfers outside the UK

Some of our service providers, or their support teams, are based outside the UK, including in the United States and the European Economic Area. Whenever your personal data is transferred outside the UK, we make sure it is protected to UK standards, by relying on UK adequacy regulations (for example, for the EEA or for US organisations certified under the UK Extension to the EU-US Data Privacy Framework) or by using the ICO’s International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.

How long we keep it

  • Waitlist details: until 12 months after Klariscan launches. We then delete them, unless you’ve become a customer or asked us to keep in touch.
  • If you unsubscribe or withdraw your consent, we stop contacting you straight away and delete your waitlist details, apart from your email address on a suppression list so we don’t contact you again by mistake.
  • Your consent record: for as long as we hold your waitlist details, and then for up to six years, so we can show we acted lawfully.
  • Emails and enquiries: for up to 24 months after our last contact with you.
  • Technical and security logs: for a short period set by our hosting provider, usually no more than 30 days.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct personal data that is wrong or incomplete
  • ask us to delete your personal data
  • ask us to restrict how we use your personal data
  • object to us using your personal data where we rely on legitimate interests, and to object at any time to direct marketing
  • withdraw your consent at any time, without affecting anything we did before you withdrew it
  • ask us to transfer personal data you gave us to you or to another organisation, in a commonly used format

To use any of these rights, email hello@klariscan.com. There’s no charge, and we will reply within one month. We may need to confirm your identity first.

If you’re unhappy with how we’ve handled your personal data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Cookies and similar technologies

Cookies are small files stored on your device. We only use cookies that aren’t strictly necessary if you agree to them in our cookie panel. Nothing in the analytics or marketing categories loads until you accept it, and you can change your choice at any time from “Cookie Settings” under Legal at the foot of every page.

Strictly necessary (always on)

  • klariscan_consent: remembers your cookie choices. Kept for 12 months.
  • klariscan-theme: remembers your choice of light or dark theme, if you pick one. Stored in your browser’s local storage, never sent to us.

Analytics (only if you accept)

  • _ga and _ga_<ID>: set by Google Analytics to distinguish visitors and sessions. Kept for up to 2 years.

Marketing (only if you accept)

  • li_fat_id, lidc, bcookie, UserMatchHistory and AnalyticsSyncHistory: set by LinkedIn to measure our adverts and recognise LinkedIn members. Kept for between 24 hours and 1 year, depending on the cookie.

We also use Vercel Web Analytics and Speed Insights, which measure visits and page speed without cookies and without identifying you.

If you withdraw your consent, we delete the analytics and marketing cookies we can reach. Some LinkedIn cookies are set on LinkedIn’s own domain, and you can clear those in your browser settings.

Keeping your data secure

We use appropriate technical and organisational measures to protect your personal data, including encrypted connections (HTTPS), access controls and reputable service providers. No method of sending data over the internet is completely secure, but we work hard to protect what you share with us.

Children

Klariscan is a service for businesses. Our website and waitlist are not intended for anyone under 18, and we don’t knowingly collect their personal data.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change, we’ll tell people on the waitlist by email.
